This Data Usage Disclosure explains how Praedium Insights LLC (“Praedium,” “we,” or “us”) collects, uses, processes, and protects data in connection with its cloud-based real estate software platform (the “Services”). This document is provided for transparency and is intended to supplement our Software as a Service Subscription Agreement and Privacy Policy.
1.Our Role With Respect to Data
Praedium Insights acts as a technology service provider and data processor. We do not own customer data or MLS data.
- Brokerages and agents remain the data controllers and owners of their data.
- Praedium processes data solely at the direction of and for the benefit of its customers.
2.Types of Data We Process
Praedium may process the following categories of data:
A. Customer-Provided Data
- Contacts, notes, tasks, and CRM records entered by users
- Documents and transaction-related information uploaded by users
- Account, subscription, and billing information
B. MLS & Third-Party Licensed Data
- Real estate listing data licensed through approved MLS providers
- Listing photos, status data, and property attributes
- MLS-derived analytics, where permitted by applicable license agreements
C. System & Usage Data
- Login activity and audit logs
- Feature usage and performance metrics
- Error and diagnostic information
3.How We Use Data
Praedium uses data only for the following purposes:
- Providing, maintaining, and improving the Services
- Enabling CRM, analytics, and workflow functionality
- Generating permitted analytics and reports
- Supporting customer service and technical support
- Maintaining platform security, integrity, and compliance
- Fulfilling contractual and legal obligations
Praedium includes an AI assistant (“Fitzwilliam”) that helps users create and update CRM records. When you use it, the text of your instruction and relevant CRM context are sent to our AI sub-processor (OpenAI) to generate a proposed change, which you must confirm before it is saved. See our AI Use Disclosure for details. Your data is not used to train external AI models.
4.MLS Data Usage & Restrictions
MLS data is subject to strict contractual and regulatory controls.
- MLS data is used only for permitted purposes such as CRM, analytics, and participant listing use. Other licensed uses (for example CMA generation and IDX/VOW display) are planned but not yet available; they will be enabled only in accordance with the applicable MLS license.
- MLS data is not resold, sublicensed, or redistributed
- Public displays of MLS data include required attribution and timestamps
- MLS data access is limited to authorized users
- MLS data may be disabled or restricted to maintain compliance with MLS rules
Listing data is fetched live from our MLS data provider (Repliers) at the time you view it and is not stored by Praedium beyond a short transient cache used to improve performance.
Praedium does not guarantee the accuracy, completeness, or availability of MLS data.
5.Data Sharing & Disclosure
Praedium may share data only in the following limited circumstances:
- With infrastructure and service providers acting on our behalf (e.g., hosting, email delivery, MLS data feeds, AI processing), subject to confidentiality and security obligations
- When required by law, court order, or regulatory authority
- To protect the rights, security, or integrity of Praedium, its customers, or third parties
6.Data Security & Protection
Praedium implements administrative, technical, and physical safeguards designed to protect data, including:
- Encryption in transit and at rest
- Role-based access controls
- Audit logging and monitoring
- Secure backup and recovery processes
No system is completely risk-free, but we continuously evaluate and improve our safeguards.
7.Data Retention & Deletion
- Customer data is retained for the duration of the active subscription and a reasonable period thereafter
- Data may be deleted or anonymized following account termination, subject to legal, regulatory, and contractual obligations
- Customers may request account deactivation or data deletion where legally permitted
8.Customer Responsibilities
Customers are responsible for:
- Ensuring they have appropriate authority and consent to input data into the Services
- Complying with applicable privacy, real estate, and MLS regulations
- Managing user access and permissions within their organization
- Using the Services in compliance with MLS rules and applicable law
9.Changes to This Disclosure
Praedium may update this Data Usage Disclosure from time to time. Material changes will be communicated through the Services or via reasonable notice.
