This Privacy Policy explains how Praedium Insights LLC (“Praedium,” “we,” “us,” or “our”) collects, uses, shares, and protects information in connection with the Praedium cloud-based real estate platform (the “Services”). This Privacy Policy is incorporated by reference into our Terms & Conditions and Software as a Service Subscription Agreement.
1.Information We Collect
We collect information in three ways: (1) information you provide directly, (2) information we receive from third parties (e.g., MLS providers), and (3) information we collect automatically.
1.1 Information You Provide
This includes:
- Account Information (name, email, phone, password)
- Brokerage & Licensing Information (license number, brokerage affiliation, office address)
- Client & Contact Records entered by you or your brokerage
- Transaction Information (notes, tasks, communication logs)
- Preferences & Settings
- Support Requests
This information is required to deliver CRM functionality and satisfies our contractual obligations to brokerages and MLS partners.
1.2 MLS Data
We receive MLS data, including but not limited to:
- Active, pending, and sold listings
- Photos and media
- Property attributes
- Public records licensed by the MLS
- Market analytics inputs
- Agent production data
MLS data is governed by your MLS provider’s Data License Agreement and must be used only for authorized purposes, including:
- IDX
- VOW
- CRM tools
- Comparative market analysis
- Agent and brokerage analytics
- Participant listings use
- Other permitted uses explicitly approved by your MLS
1.3 Information Collected Automatically
We collect usage data to improve performance and security:
- IP address
- Device and browser type
- Login timestamps
- Product feature usage
- Clickstream actions
- Cookies and session identifiers
This data helps us operate a secure and resilient SaaS platform.
2.How We Use Your Information
We use your information strictly for legitimate business, operational, contractual, and compliance purposes.
2.1 Platform Operations
- Maintaining and improving CRM features
- Syncing MLS data into your account
- Delivering communication tools, AI features, automation, analytics
- Supporting brokerage oversight and compliance
2.2 Security & Compliance
- Monitoring for unauthorized access
- Protecting MLS data in accordance with our MLS data license agreements
- Meeting security obligations, including breach notifications within contractual timelines
2.3 Communications
- Account updates
- System notifications
- Support responses
- Service announcements
We do not use MLS data for unsolicited communications.
2.4 Product Development & Analytics
We process anonymized, aggregated data to improve product performance. We do not publicly display or resell MLS metadata or derivative analytics unless explicitly allowed by MLS rules.
3.How We Share Information
3.1 MLS Providers
To comply with MLS rules and auditing requirements, MLS partners may access:
- Domain usage reports
- System activity logs related to MLS data
- Display compliance audits
3.2 Service Providers (Subprocessors)
This includes:
- Application hosting and managed PostgreSQL database (Render)
- Map display and geocoding (Google Maps Platform)
- Authentication / single sign-on (Google OAuth)
- AI text generation (OpenAI)
- MLS data feeds (Repliers)
- Email delivery (Google Workspace / Gmail)
A current list of subprocessors is maintained in Schedule A of our Data Processing Agreement. All vendors are bound by confidentiality and data-protection agreements.
3.3 Brokerages
Brokers may access:
- Agent accounts they sponsor
- Client communication logs (if contractually required)
- Listing performance, analytics, and transaction data
3.4 Legal & Compliance
We may disclose information if required:
- To comply with law
- To enforce our rights
- To investigate fraud or security issues
- To respond to lawful MLS inquiries
4.How We Protect Your Data
We implement administrative, technical, and physical safeguards including:
- Encrypted data at rest and in transit
- Access-controlled MLS data segregation
- Network firewalls and intrusion detection
- Least-privilege access policies
- Secure development and code-review processes
- Regular penetration testing
Our obligations mirror those required under our MLS data license agreements.
5.AI Features & Data Processing
Praedium Insights LLC includes an AI-powered assistant (“Fitzwilliam”) that proposes the creation or update of CRM records. Fitzwilliam can suggest creating or updating contacts, opportunities, and tasks; every write requires your explicit confirmation before it is saved. Fitzwilliam is powered by OpenAI. Additional AI features are planned but not yet available (see “Planned / Coming Soon Features” below).
AI Processing Rules
- MLS data used in AI features is processed only for approved MLS purposes.
- AI outputs based on MLS data are not publicly displayed unless compliant with MLS rules.
- AI-generated CMA/report outputs are for internal or client-specific use only (not mass redistribution).
6.Your Rights
Depending on your location, you may have rights to:
- Access your data
- Update or correct information
- Request deletion
- Export data
- Restrict certain processing
- Withdraw consent (where applicable)

6A.Notice to California Residents (CCPA / CPRA)
This section applies to California residents and supplements Section 6.
Categories of personal information collected
In the preceding 12 months, we collect or have collected the following categories of personal information as defined under the California Consumer Privacy Act, as amended (“CCPA”):
- Identifiers (name, email, phone, license number, account ID, IP address)
- California Customer Records (contact and brokerage information)
- Internet or other electronic network activity information (login timestamps, feature usage, clickstream)
- Geolocation data (approximate, from IP)
- Professional or employment-related information (brokerage affiliation, role)
- Inferences drawn from the above (lead scoring outputs, usage patterns)
We do not knowingly collect sensitive personal information (SPI) as defined under CCPA from end users. Customers should not enter Social Security numbers, financial account credentials, or government identification numbers into the Services.
Sources
We collect this information from you, from MLS providers, from authentication providers (Google), and automatically through your use of the Services.
Business purposes
We use this information for the operational purposes described in Section 2 of this Privacy Policy (platform operations, security and compliance, communications, product development and analytics).
Disclosures and sharing
We disclose personal information to the categories of service providers and third parties described in Section 3 of this Privacy Policy. We do not “sell” personal information for monetary consideration, and we do not “share” personal information for cross-context behavioral advertising as those terms are defined under CCPA. We have not done so in the preceding 12 months.
Retention
We retain personal information in accordance with Section 7 of this Privacy Policy, including any longer retention required by MLS license agreements, brokerage agreements, or law.
Your California rights
California residents have the right to:
- Know the categories and specific pieces of personal information we have collected
- Request deletion of personal information (subject to legal exceptions)
- Request correction of inaccurate personal information
- Opt out of the sale or sharing of personal information (we do not sell or share — but you may still submit a request)
- Limit the use of sensitive personal information (not applicable — we do not knowingly collect SPI)
- Non-discrimination for exercising your rights
How to exercise
Submit a request to privacy@praediuminsights.com with the subject line “California Privacy Request” and include your name, account email, and the nature of your request. We will verify your identity before fulfilling the request and respond within 45 days (extendable by 45 additional days if necessary, with notice).
Authorized agents
You may designate an authorized agent to submit a request on your behalf. We may require the agent to provide proof of authorization and may verify the consumer’s identity directly.
Children
We do not knowingly collect personal information from minors. See Section 9.
7.Data Retention
We retain data for as long as:
- Your account is active
- Required for MLS contractual obligations
- Required by brokerage agreement
- Required by law (e.g., financial regulations)
MLS data is fetched live from our MLS data provider (Repliers) and is not persisted by Praedium beyond a short transient cache; there is therefore no stored MLS dataset to delete upon termination beyond expiry of that cache. We comply with all deletion and retention obligations set out in the applicable MLS data license agreements.
8.Breach Notification
If we discover unauthorized access to MLS data or personal information:
- We will notify the applicable MLS and our MLS data provider within the timeframe required by the applicable MLS data license agreement.
- We will notify affected users as required under state or federal law.
- We will cooperate fully with MLS and brokerage partners on mitigation and remediation.
9.Children’s Privacy
Our platform is intended for licensed real-estate professionals—not consumers or children. We do not knowingly collect information from anyone under 16.
10.International Data Transfers
If you access Praedium Insights LLC from outside the United States, your data may be processed in the U.S. We maintain appropriate contractual and safeguard protections.
11.Changes to This Privacy Policy
We may update this policy to reflect operational, regulatory, or contractual changes. We will notify you of material changes via email or platform alert.
Planned / Coming Soon Features
The following features are planned but are not yet available in the Services. They are listed here for transparency; this Privacy Policy will be updated to describe their data processing before any such feature is released:
